Many sales reps and other professionals commonly use email aliases in their business correspondence with different contacts. That means one user can carry out business email communication and calendar activities in one email account but via various email addresses. Also, in some cases, the user’s email address in their Salesforce account can differ from the addresses used in their email account.

RG Sync Engine identifies and handles email aliases to ensure seamless processing of activities in the user’s Microsoft/Google and Salesforce accounts.

Retrieving email aliases

RG’s system automatically retrieves email aliases and saves them in the internal database. The following pattern is used for collecting email aliases:

  1. The system gets email addresses from the My connectivity settings, where the user’s Salesforce and email account credentials are listed

  2. Using the email address from the email account credentials, the system makes an API request to the email client server to retrieve email aliases. There are possible limitations, depending on the API type:

  3. Once email aliases are retrieved, the system removes duplicates and saves the resulting list in the database


If your system uses EWS API, the maximum number of email aliases RG Sync can collect is four – three email aliases retrieved from the email client server and one from Salesforce credentials

Updating email aliases

To keep the list of email aliases in the database valid, RG Sync Engine automatically gets updated upon specific triggers. The following triggers initiate the updating of the email aliases list:

How email aliases are used by Revenue Grid

RG Sync Engine uses your and your colleagues’ email aliases to match your (your colleagues’) email address set in Salesforce account with addresses you (your colleagues) use for business correspondence and calendar activities. That ensures seamless saving and synchronization of activities between Microsoft/Google and Salesforce accounts.

Processing of email aliases by RG Sync Engine prevents:

  • creation of duplicated events in the calendar
  • sending one attendee multiple invites to the same event
  • cancellation and invite to the same event (instead of update) when it is changed

Also, Revenue Grid uses retrieved email aliases to identify your corporate (internal) email domains and add them to the Blocklist in Sync settings. By default, RG adds internal domains to blocklist only once, and you can remove them manually from the blocklist later. Note that this behavior is configurable.

When your business contacts are added to your CRM via RG Sync, every record is created based on one specific email address. Therefore, Revenue Grid considers any alias email addresses used by your contacts as new unresolved entities. However, the Add-In will display related records based on data in the email’s signature and the email domain
