Simplify settings management with presets

3 min read

Presets in Revenue Grid let you define and reuse configurations for how Sync and Sidebar behave across users. Instead of adjusting settings manually, admins can apply a consistent setup at scale, saving time and reducing the risk of misconfiguration. Presets also support safe testing workflows and flexible assignment options, making them ideal for phased rollouts and cross-team standardization.

What presets are

Presets are reusable templates that define settings of how key features in Revenue Grid—such as email and calendar sync or Sidebar behavior—work for users.

Instead of manually adjusting these settings for each new user or profile, you can create a preset once and apply it where needed. This centralized approach enforces consistent configurations and simplifies future updates.

Why to use presets

Presets are most useful when you want to:

  • Apply a consistent configuration across many users
  • Reduce manual effort during user onboarding
  • Test configuration changes before applying them in production
  • Support different teams with tailored settings

How presets work

Presets in Revenue Grid follow a simple lifecycle:

  • You create a preset, configure its settings, assign it to users or profiles.
  • When assigning a preset, you choose whether to override users’ current settings or preserve their customizations.
  • When changes are needed, you can update and reapply the preset.

All presets can be managed centrally, with tools to track assignments, clone configurations, and monitor changes.

Create presets

To create a new preset, start by cloning an existing one or importing settings from a user who already has the desired configuration.

  • Cloning lets you reuse and modify any saved preset, including the default.
  • Importing from a user allows you to capture a working setup and apply it across others with similar needs—saving time and ensuring consistency.

Configure settings presets

Once your preset is created, configure its settings to match your business needs. You can control how data is synchronized between Salesforce and users’ mailboxes, as well as which Salesforce objects and fields appear in the Sidebar.

All settings are organized into clear tabs, making it easy to tailor the preset to a specific team or role.

Assign presets to users and profiles

After configuring the preset, assign it to either individual users or entire user profiles.

  • Assigning a preset to a user applies the configuration immediately.
  • Assigning it to a profile sets it as the default for any new users added to that profile—without affecting users already in the profile. If needed, you can assign the same preset directly to existing users to ensure consistency across the group.

This gives you the flexibility to apply settings automatically for future users while keeping full control over how and when changes reach current users.

Control how preset settings are applied

When you assign or change a preset, you choose how to apply the settings. You can:

  • Override all existing settings for the user, replacing them with the values defined in the preset.
  • Update only the settings that differ from the user’s current preset, preserving user-level customizations where possible.

This gives you control over how much of the preset is enforced while still allowing flexibility at the user level.

Update and reapply presets

If you make changes to a preset, those updates are not automatically pushed to users. You can:

  • Save the changes as a new preset version.
  • Reapply them to assigned users—either fully or partially.

This allows you to test updates or roll them out safely, while preserving existing user settings when needed.

Manage presets

All presets can be centrally managed. You can rename, clone, or delete them, view who’s assigned to each one, and track the history of changes. This helps keep your settings library organized and gives you visibility into how configurations are used across your organization.

Safely try presets in production environments

If you’re already using Revenue Grid, you can experiment with presets safely using trial preset mode. This feature duplicates an existing profile and generates a matching preset, allowing you to make changes without affecting active users.
