Historical sync and time zone matching

Historical synchronization means inclusion of existing MS Outlook emails and events into RG Email Sidebar sync scope on the first start of Revenue Grid synchronization.

After you:

  1. Install RG Email Sidebar
  2. Set up synchronization
  3. Enable meetings/appointments auto-syncing

Only calendar items created after sync activation will be automatically synchronized between Exchange and Salesforce. This means the following calendar items will not be auto-synced:

  • Any calendar items that were created before sync activation, even if they are scheduled for a future date.
  • Recurring calendar series created before sync activation, including future occurrences.

To sync existing individual or recurring calendar items from Microsoft Outlook, users must manually initiate synchronization by either:

  • Assigning the custom Salesforce category in Outlook.
  • Using the Save button in the Sidebar.

Note

Please also note that Revenue Grid synchronization will not down-sync to Microsoft Exchange / Microsoft 365 your Salesforce calendar items that existed prior to sync initial activation.

Additional feature

If you need to sync a large number of existing events and manually marking them is impractical, you can request their automatic inclusion in Revenue Grid synchronization as a custom service. An additional fee may be required. Contact Revenue Grid support for details.


Existing emails saving (historical sync) on Revenue Grid sync activation

After you:

  1. Install RG Email Sidebar
  2. Set up synchronization
  3. Enable automatic email syncing

Revenue Grid will automatically sync all emails in your Inbox and Sent folders starting 6 days before the sync activation date. The sync applies only to emails exchanged with addresses or domains that are not blocklisted or internal.

To sync emails sent or received earlier than 6 days before the activation date, assign them a Salesforce category in Microsoft Outlook or use the Save button in the Sidebar.

By default, all free email domains (e.g., gmail.com, yahoo.com) are blocked from auto-syncing and record creation. If you need to sync emails and calendar items exchanged with free email domains, contact Revenue Grid support to request an exception.

Additional features

By default, Revenue Grid syncs emails from the Inbox and Sent folders starting from 6 days before the sync activation date. If you need to:

  • Sync emails sent or received earlier than this period
  • Sync emails from additional folders (e.g., custom folders, archives)

You can request these options as custom services. Additional fees may be required. Contact Revenue Grid support for details.


Time zones matching

The general principle how RG Email Sidebar syncs calendar items is integrating MS Outlook calendar items processing mechanisms and Salesforce calendar events handling, also matching their corresponding time zone-defined offsets. Additionally, when generating the time slots selection or calendar availability booking page, RG Email Sidebar reads the actual time zone values in recipients’ browsers and adjusts the scheduling table accordingly; a selector of other time zones is also included in the scheduling page.

Issues with uncommon time zones handling

Due to a discrepancy between the sets of time zones available in MS Exchange and Salesforce, some less common time zones cannot be matched properly on RG Email Sidebar calendar items synchronization. This results in synchronization issues of the following kind: Can’t match specified timezone: ‘Greenland Standard Time’ ({occurrence id}). If you encounter these issues, it is recommended to switch to a nearest matching commonly used time zone when working with RG Email Sidebar, if possible.
